The traditional manufacturer of high quality audio systems from Niederkaulen, Germany, uses the Enterprise-Version of bitfarm-Archiv Open Source DMS, for audit-proof archiving of their ERP documents.

Fully automatic archiving into the DMS

The ERP-System JD Edwards used in the management, delivers on printing, all documents to the bitfarm-Archiv Printspooler. The Printspooler ensures the "paper output" and the fully automatic archiving into the DMS. The Open Source DMS recognizes all document types automatically, assigns it properly and ensures the reading of the metadata, the right indexing and classification, for example, to a customer, a sales representative or an order.

For the user, archiving is completely without effort. Canton gets different search funktions, which are not possible with JD Edwards, a simple reprint opportunity and thanks to the audit-proof archiving, in the medium-term siginficant space savings, because there is no need for filing in paper form.

Fast DMS implementation at low costs

After a project duration of only four days, the system was ready for operation and handed over at the customers site, by the bitfarm experts. In addition to the development of DMS rules for all JD-Edwards documents, it was time for detailed user training. The total costs were in the four-digit-range, although 40 users in the management of the medium-sized company should have access to the archive. This includes external sales representatives who can reach their records online now.
